What is the Lumin Admin Portal?

The Lumin Admin Portal is a separate web tool from the Community Management Portal. Where the Community Management Portal is for day-to-day operations — communicating with residents, managing groups, running events — the Admin Portal is for administrative control of the Lumin platform itself.
Who uses the Admin Portal
Lumin platform administrators at an organisation — IT staff, system owners, or designated administrators. Multi-site operators managing platform configuration across multiple villages or facilities. Lumin staff providing support. Frontline village staff, care coordinators, or residents don't usually use the Admin Portal. They use the Community Management Portal, the CareHub, or the Lumin App.
What the Admin Portal controls
Organisation and site structure — managing the relationship between an organisation and the villages, facilities, or sites it operates. Staff user accounts and roles — adding new staff, defining what they can see and do in the Community Management Portal, removing access when staff leave. Single sign-on configuration — where SSO is in use (via Lumin Connect), the Admin Portal manages the integration. Module activation and configuration — which features are turned on for which sites. Branding and customisation — village logos, colour schemes, custom content. Billing and licensing — what's licensed where, how it's billed, who the billing contacts are. Audit logs and security — who did what, when, with which permissions.
What it doesn't do
It's not for day-to-day community management. That's the Community Management Portal. It's not for clinical data. Clinical records live in the operator's care management software. It's not for end-user actions. Residents and families never use the Admin Portal.
Accessing the Admin Portal
Access is provisioned by Lumin during deployment, typically to a small number of administrators per organisation. If you need Admin Portal access and don't have it, contact Lumin Support — we'll verify your role with your organisation's primary contact before granting access. The Admin Portal is web-based, accessed through a browser. It uses your organisation's standard work account through SSO where set up; otherwise, a Lumin-issued login.
Common Admin Portal tasks
Adding a new staff member — assigning role, site, and permissions. Removing a staff member — when someone leaves, ensuring their access is revoked promptly. Activating a new module — turning on a feature like advanced bookings or Lumin Connect for a particular site. Reviewing audit logs — for security review or incident investigation. Adjusting billing — adding or removing residents from the billed cohort, updating billing contacts.
